The Opportunity
We are seeking Recruiter Coordinators to support our Talent Acquisition recruiting area. These roles will support our pipeline high volume or less complex non-pipeline recruiting teams.
The recruiting coordinator provides administrative and operational support for the talent acquisition process, including pre-employment and onboarding activities. Handles interview scheduling across multiple time zones, coordinates logistics for in-person and virtual recruiting activities, and maintains accurate candidate data within the Applicant Tracking System (ATS). Ensures timely communication among recruiters, hiring leaders, and candidates, contributing to an efficient and consistent recruiting process and a positive stakeholder experience.
We offer a flexible work environment that requires an individual to be in the office 4 days per week. This position can be based in one of the following locations: San Antonio, TX orPhoenix, AZ. Relocation assistance is not available for this position.
What you'll do:
- Ensures risks associated with business activities are effectively identified, measured, monitored, and controlled in accordance with risk and compliance policies and procedures.
- Schedules and coordinates interviews across multiple time zones, including arranging travel, lodging, transportation, and preparing detailed itineraries when required.
- Runs logistics for recruiting activities and events (e.g., job fairs, campus or early talent programs, and virtual events), including preparation and shipment of materials.
- Guides candidates through the recruitment and onboarding process by providing timely updates on application status and interview details, ensuring a seamless and positive candidate experience.
- Maintains accurate and up-to-date requisition and candidate data in the Applicant Tracking System (ATS), ensuring data integrity, compliance with company policies, and adherence to legal requirements. Safeguard sensitive candidate information and uphold confidentiality standards.
- Initiates and manages pre-employment background checks, drug screenings, and onboarding activities (e.g., new hire orientation coordination, I-9 verifications and licensure), ensuring smooth transitions for new hires.
- Provides direct administrative support to recruiters, including creating offer letters, preparing onboarding materials, and handling expense reports.
- Tracks recruitment/onboarding metrics and assists with preparation and maintenance of operational reports, providing data to assist decision making and progress against goals.
- Monitors I-9 completion status, ensuring timely follow-up and completion of required documentation to clear candidates for employment.
- Finds opportunities to streamline interview lifecycle and onboarding processes, improve the candidate and hiring leader experience, and contribute to the development of best practices.
- Collaborates closely with recruiters, hiring leaders, and external partners to troubleshoot scheduling conflicts, resolve process issues, and ensure alignment on expectations and timelines.
What you have:
- High school diploma or equivalent
- Up to 2 years of progressive work experience in staffing, human resources, administrative support, account relationship management, or a related field.
- Strong organizational and time management skills with the ability to prioritize tasks, manage multiple calendars, and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to build positive relationships and a commitment to delivering a high-quality candidate and hiring leader experience.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and experience working with Outlook or other calendaring software.
- Strong attention to detail and accuracy, with experience coordinating cross-functional tasks or projects
What sets you apart:
- Experience as a recruiter or recruiting coordinator supporting high volume recruiting efforts
- Experience working with a Candidate Applicant Tracking System (ATS) (ideally Workday)
- Experience with talent acquisition candidate screening and recruiting processes (to include applicable laws and regulations)
- Experience with coordination of business travel and Business Travel/Expense (T&E) Management Software such as Concur
- Experience with recruiting CRM platforms like EightfoldAI, or similar platform
- Ability to deliver exceptional communication and experiences to candidates, hiring leaders and recruiting staff
- US military experience through military service or a military spouse/domestic partner
Compensation range: The salary range for this position is: $43,680- $67,840.

Compensation: USAA has an effective process for assessing market data and establishing ranges to ensure we remain competitive. You are paid within the salary range based on your experience and market data of the position. The actual salary for this role may vary by location.
Employees may be eligible for pay incentives based on overall corporate and individual performance and at the discretion of the USAA Board of Directors.
